Direct car access for unloading / set up 8-9am – all cars MUST be moved away from the exhibition building by 9.30am

Exhibitor Information

SET UP & PARKING

Access for cars to drive up to the building and unload is strictly between 8am and 9am on Sunday. Follow the signs to Little Stars (first turning on the right when you drive in, before you get to the main Milky Way car park) and drive through the gates by the rollercoasters. After 9am cars will not be allowed past the gate under any circumstances. Please also respect other exhibitors wishing to unload. Cars MUST be moved away from the exhibition building by 9.30m.

If you arrive after 9am you will need to carry any equipment from the Little Stars car park around to the exhibition building. All cars must be moved from the Little Stars car park by 10am. This is for the safety of visitors to The Milky Way.

If you arrive to set up after 9.30 am you will have to park in the main Milky Way car park, enter via the main entrance to the park and carry your equipment etc through the attraction to the exhibition buildings – this is quite a walk!

After unloading ALL exhibitors cars need to be moved and parked in the main Milky Way car park by 10am at the latest – please park near the back to give our guests a shorter walk!

Please note that the main exhibition rooms are the Indoor Arena and the Party Room. The Party Room is located above Planet Play indoor play area, so please be aware that there are stairs involved. A one way system will be in operation through the Party Room to ease congestion of exhibitors and visitors. Please abide by this when unloading.

On arrival please come and see one of us. We will be ‘floating’ around the arena. We will advise you of the location of your stand and distribute passes and complimentary refreshment tickets.

TABLES & TABLE CLOTHS

Tables are provided for those who have requested them, but table cloths are not supplied. Therefore, you MUST bring your own.

POWER

If you have requested power then you will be allocated to the nearest supply, but you will need to provide your own extensions (please ensure that these are included in your risk assessment. Any trailing wires will need to be taped to the floor.)

HEALTH & SAFETY

No smoking within the venue. Displays must not contain any flammable material or liquid.

All exhibitors will be responsible for their own insurances to cover public liability and any fire, theft or damage caused on the day. All exhibitors will be responsible for their own displays at all times.

FINISH TIME & BREAKDOWN

The Milky Way and the wedding fayre is open until 3pm. Please DO NOT pack up before this time. Cars will not be able to drive up to the building until after 3.15pm when a member of staff says that it is safe for you to do so. This is for the safety of the general public as the park is still open until 4.30 pm.

All personal rubbish should be disposed of at the end of the Wedding Fayre by the exhibitor.

REFRESHMENTS

Complimentary tea/filter coffee is offered at 2 per stand. Tickets for these will be given out on the day.

The Starlight Restaurant will be open for all other refreshments including lunches etc at normal prices.

ACCESS TO THE MILKY WAY ATTRACTIONS

Discounted tickets will be available for your friends and family. This will be for £8.95 for adults and children 2+ and £3.50 for children aged 1-2 years, £1 for under 1’s. Please advise me prior to the day of the fayre if you require these. You can then collect a pass from me on the day. You will then need to meet your guests at reception with these tickets to pay and gain entry for them.
